Assignment: Break Down Tasks and Organize Minutes with AI
Pick a real initiative you're leading, use AI to break it into a task list; at your next meeting, use AI to produce minutes and action items, and compare the efficiency gain.
Following the three hands-on scenarios from class, pick a real work item and run through the full workflow. Completing both assignments meets the standard — feel free to share your results in the community group.
Course Materials
Prompt Templates
8 complete prompt templates (see Lesson "Self-Practice Templates and Pitfalls"), covering the full workflow from initiation to reporting.
Meeting Transcript
Demo material (see Lesson "Hands-On: Three Core Scenarios"), directly usable for Prompt C practice.
5-Piece Prompt Formula
Role + Task + Background + Format + Constraint — the underlying formula for all templates.
Assignment 1: Break Down a Real Initiative You're Leading
Pick a real item → use Prompt A to break it into a task list → replace owner roles with real names → send to your work group.
Completion criteria:
- Choose a real initiative you're leading soon (event, project, process rollout — anything works)
- Use Prompt A (Task Breakdown), replacing the bracketed info with real content
- In the AI-generated task table, replace owner roles with real names
- Use Prompt B (Risk Register) to follow up with a risk checklist
- After verifying the task list and risk register, send them to your work group or collaborators
Assignment 2: Use AI to Organize Your Next Meeting's Minutes
Record and transcribe the meeting → use Prompt C for minutes and action items → compare how long it would take you manually.
Completion criteria:
- At your next real meeting, use a transcription tool to record and transcribe
- Use Prompt C (Meeting Minutes), pasting in the transcript
- AI outputs three sections: meeting conclusions, action items (table), open questions
- Verify AI's output, marking uncertain items as "to be confirmed"
- Compare: AI-generated vs. your handwritten version — how long did each take? Where are the quality differences?
Submission Requirements
Label Assignment Number
Indicate whether you completed Assignment 1, Assignment 2, or both.
Include Prompts
Attach your prompts with real info filled in (desensitized), and the tool names you used.
Include Comparison
For Assignment 2, attach both the AI-generated minutes and your handwritten version (or time comparison) for efficiency discussion.
Neither assignment needs to be perfect on the first try — just get the workflow running. The key is experiencing the rhythm of "fill in brackets → AI produces draft → you verify and decide" and iterating through repeated use. Feel free to share your work in the community group — the instructor will answer questions there.
Self-Practice Templates and Pitfalls
Take away 5 timeline-based self-practice templates, learn to pick tools by task, and remember three red lines you must never cross.
Data Analysis with AI
9-step workflow, 3 hands-on exercises, 8 prompt templates — turn a spreadsheet into an analysis report in 3 minutes without SQL or Python.
