Hands-On: Three Core Scenarios
Use "organizing a 100-person training event" as the main thread to run through three prompts — WBS task breakdown, risk register, and meeting minutes — with a full meeting transcript included for reproduction.
The three exercises are sequenced on a timeline: break down tasks first, then list risks, then organize meeting minutes. Use "organizing a 100-person training event" as the main thread — fill in the brackets and run each prompt directly.
Prompt A: Task Breakdown (WBS)
You are the sole lead with limited time, budget, and headcount — this is exactly what AI is for. Fill in the brackets with your information, then send it to AI.
I am organizing a [scale/theme] [event type] on [date] at [location],
within a budget of [amount]. I am the sole lead and can deploy [number]
colleagues to assist, including [name] who handles [specific task].
Please help me break this down into a complete task list, output as a table
with five columns: Task, Suggested Owner Role, Deadline, Dependencies, Risk Points.
Requirements: reverse chronological order from today to event day;
no more than 15 tasks, one sentence each.
Before starting, ask me three questions to confirm the information, then begin.Scenario: You are the sole lead. Fill in the six variables — date, scale, theme, location, budget, headcount — and AI will produce a complete task table.
Prompt B: Risk Register
Once the task list is ready, follow up with a risk register. Paste the task list from the previous step and let AI build your "what if" checklist.
Please help me create a risk register, output as a table, including:
Risk Description, Probability (High/Medium/Low), Impact (High/Medium/Low),
Warning Signs, Mitigation Measures, Suggested Owner.
Prioritize the top 5 most easily overlooked risks and explain why.
[Paste task list]Easily overlooked details often determine a project's ultimate success or failure. Beyond high-level progress control, managing detail-level risks and having contingency plans is equally important.
Prompt C: Meeting Minutes
5 minutes after the meeting ends, get minutes and action items together. The flow: audio to text → text + Prompt C to AI → 5 minutes to get minutes, you only verify, not rewrite.
Audio to Text
Use transcription tools (e.g., 通义听悟, Feishu Minutes, or your phone's built-in recording) to convert meeting audio to a text transcript.
Transcript + Prompt C to AI
Paste the transcript into the prompt and let AI output conclusions, action items, and open questions.
Verify, Don't Rewrite
After AI produces the output, you only verify and make corrections — no need to rewrite from scratch. Mark uncertain items as "to be confirmed."
Below are the records from our project coordination meeting.
Please output meeting minutes, highlighting three parts:
1. Meeting conclusions — concise, one sentence each;
2. Action items — in a table: Item, Owner, Deadline, only items explicitly assigned during the meeting;
3. Open questions — items raised but not finalized.
Mark uncertain items as "to be confirmed" and do not fabricate.
[Paste meeting transcript]The most critical line in the template: "Mark uncertain items as 'to be confirmed' and do not fabricate." This prevents AI from confidently making things up.
Demo Material: Meeting Transcript
This transcript is used in class to demonstrate Prompt C. It's a preparation meeting for a "AI in Learning and Life" Teachers' Day special training — paste it directly into Prompt C to reproduce the in-class result.
Paste this transcript into Prompt C, and AI will output three sections: meeting conclusions (one sentence each), action items (table), and open questions. Compare how long it would take you to write minutes by hand.
